Thank you for ordering the tax sale advertising list on CD-ROM.  This CDROM contains 6 files:

1) ADV2005.MDB

This file is a Microsoft Access 97 database containing the tax sale information.  It is provided only as a convenience and a courtesy to you.  The information is represented in two tables (AdvertisingSummary and AdvertisingDetail).  If you are running a version of Access more recent than Access97, you will need to copy this file off of the CD onto your hard drive and convert the database.  Access will walk you through the conversion process.  If you are unable to use this file, use the other text data files that are on this CDROM and import them into the spreadsheet or database of your choice.

2) ADV2005.XLS

This file is a Microsoft Excel spreadsheet containing the tax sale information.  It should be compatible with Excel97 and later versions.  It is provided as a convenience and a courtesy to you.  If you are running Microsoft Excel97 or later on your computer, you should be able to access and use this file.  Some other spreadsheet programs may also be capable of reading this file.  If you are unable to use this file, use the other text data files that are on this CDROM and import them into the spreadsheet or database of your choice.

3) ADVSUM.TXT (Parcel Information)

This file contains the information that applies to all tax years for each parcel.  The data items (comma-delimited) in this file are:

Sequence Number
Parcel Number
Area Code
Owner Name
Legal Description  (15 fields) consisting of Lot/Section, Block/Township, Tract/Range, and 12 legal description lines.

4) ADVDET.TXT (Parcel/Year Detail Information)

This file contains information that is unique to each specific tax year.  The data items (comma-delimited) in this file are:

Sequence Number
Parcel Number
Tax Year
State CP Flag (Y if currently a state CP, N if open back tax)
Secondary Land Full Cash Value
Secondary Improvement Full Cash Value
Secondary Personal Property Full Cash Value
Tax Amount
Residential Percentage
Land Class Code
Improvement Class Code

5) CLASSCODES.TXT (Land/Improve Class Code Definitions)

The detail data file (ADVDET.TXT) contains 2 class code fields: Land Class Code and Improvement Class Code.  This file (CLASSCODES.TXT) contains these code combinations and the associated classification type of the parcel.

6) README.TXT

The file you are now reading.

Using The Data
================

If you cannot or do not wish to use the provided Excel spreadsheet, import the summary and detail text files into a database such as Microsoft Access or your own spreadsheet.  Each of these tools should have the capability of importing a comma-delimited text file, such as these.

Please note that the Treasurer's Office will attempt to assist if you are having difficulty reading the files from the CD.  We are unable, however, to provide any support beyond that (i.e., loading the data file into a database, etc...).
